1. Introduction
At Mont Blanc we respect your right to privacy, and we are committed to comply with applicable data protection rules and to safeguard your rights. This Privacy Policy describes, amongst other things, which information we collect about you, how your personal data is processed and for what purposes we collect and use the personal data. This Privacy Policy also describes your rights and how you can contact us about the use of your personal data.
This Privacy Policy is layered and divided into sections based on the categories of data subjects, i.e. the individuals, whose personal data is processed by Mont Blanc. Therefore, you only need to read the section that is relevant to you, and which refers to the category that you belong to.
2. Data Controller and contact details
The controller for each processing of personal data presented under section 4 below is one of the following Mont Blanc-companies depending on the circumstances, i.e., the company you or your employer has contact or a contract with:

One of these Mont Blanc-companies (hereafter “Mont Blanc”, “we” or “us” “the company”) is responsible for the processing of your personal data processed in the role as the data controller. The companies may also act as data processors. This situation occurs when one Mont Blanc-company processes personal data on behalf of another Mont Blanc-company.

If you have comments on our processing or are not satisfied with the response you have received from us, you have the right to file a complaint with the competent supervisory authority. In Sweden the supervisory authority is the Swedish Authority for Privacy Protection (IMY), www.imy.se, in France the National Commission on Informatics and Liberty (CNIL), www.cnil.fr, and in Romania it is the National Supervisory Authority For Personal data Processing (ANSPDCP), www.dataprotection.ro.
3. Your rights
As a data subject you have a number of GDPR-rights which you find below. You can receive more information about your rights at IMY:s website. You are welcome to contact us at any time with respect to these, and if you wish to exercise any of the rights described below, you most easily reach us at gdpr@montblancgroup.com.
3.1 Right to access
You are always entitled to ask us whether we process any of your personal data, and if so, access information about the processing a copy of such personal data.
3.2 Right to rectification
You have the right to request that we correct or update your personal data if something is wrong or missing.
3.3 Right to erasure (“right to be forgotten”)
If you submit a request “to be forgotten” we will erase personal data that are no longer necessary in relation to the purposes for which they were collected or otherwise processed. We will also erase your personal data if you withdraw your consent on which the processing is based. In some cases, we will not have the possibility to erase your personal data. That depends on whether the personal data is still necessary to process for the purpose it was collected for, that our interest of continuing the processing outweighs your interest of getting it erased, or that we have a legal requirement of retaining it. Please keep in mind that we may not be able to provide you with our services if you request to have your personal data deleted.
3.4 Right to restriction
Under certain conditions, you have the right to request that we restrict our processing of your data. This means that we mark the data so that we only process it for certain specific purposes in accordance with article 18 GDPR. We may not be able to provide you with our services if we restrict the processing of your personal data.
3.5 Right to data portability
If you have provided us with personal data, you also have the right to have your personal data resubmitted to you, in a structured and accessible format, for transfer to another company.
3.6 Right to object
You have the right to object to our processing of personal data that is based on our legitimate interest. For some processing we process your personal data after a balance of interests, and if you object to such processing, we can only continue our processing if we can demonstrate that there are compelling legitimate grounds for the data to be processed which outweigh your interests, rights, and freedoms or if the processing is necessary for the establishment, exercise, or defence of legal claims. Where we process personal data for direct marketing purposes including profiling, you can always object and we will immediately stop processing your personal data for such purposes.
3.7 Withdrawal of consent
If Mont Blanc processes personal data based on your consent, you always have the right to withdraw the consent at any time through a written notice sent to Mont Blanc.
4. Processing activities
If you are an external party in contact with us, such as an employee of one of the Mont Blanc-companies’ customers, customer as a natural person, retailers, suppliers or partners, an applicant for a position with us, visitor to one of our offices, sites, or the website your personal data are processed pursuant to this privacy policy. We strive to minimize the amount of data we process. This means that we do not collect more personal data than necessary to fulfil the purpose of the processing. To make you find what is relevant to you, we have divided the information into different paragraphs due to categories of data subjects.
4.1 If you are a customer of Mont Blanc or otherwise in contact with us as a natural person
If you are in contact with us as a costumer or for any other reason your personal data will only be processed to the extent necessary to administrate the current issue.
4.1.1 Purpose of processing and lawful basis
We process your personal data in order to provide our products or services and to administer the contract with you. The legal basis for our processing is that the processing is necessary for the performance of the contract with you.
If you are not a customer of Mont Blanc or a customer interested in further products or services from us, we process your personal data in order to respond to queries about future contracts regarding provision of our products or services. The legal basis for our processing of your personal data for the purpose of responding to queries about future contracts is that the processing is necessary in order to take steps prior to entering into a contract with you. If we are processing your personal data by answering questions more in general our legal basis is our legitimate business interest.
4.1.2 Categories of personal data
Name, e-mail address, home address, phone number, personal identification number, information about your driving license as well as the personal data set out on your driving license including a picture of you, information about your current and previous use of our products or services including any ongoing rental, accidents or late payments, details of queries you have made and other information about you that you voluntarily submit to us.
4.1.3 Storage time
If you are a customer of Mont Blanc your data will be stored for as long as the contractual relationship is ongoing. In addition, Mont Blanc will retain the personal data to the extent necessary for the establishment, exercise or defence of any legal claims. If your personal data is part of invoice documentation, it will be stored in our accounting in accordance with applicable accounting legislation. In Sweden that is for seven years after the end of the calendar year when the fiscal year ended in accordance with the Swedish Accounting Act (Bokföringslagen).
If you are not a customer of Mont Blanc or a customer interested in further products or services from us your personal data is stored only for as long as there is a need to keep the data in order to fulfil the purposes for which the data was collected in accordance with this Privacy Policy. Further, the personal data will be deleted if
(i) you inform us that your interest in our products and services has ceased,
(ii) the provision of the relevant product or service is discontinued by Mont Blanc, or
(iii) you request that we delete your personal data.
4.1.4 Recipients
If you are a customer to us, we may share your personal data with our trusted subcontractors to the extent necessary for the performance of the contract we have entered into with you. They may need access to the personal data in their assignment for us, but they will not be allowed to use the personal data for any other purpose. Further (and irrespective of whether you are customer or not), certain service providers of Mont Blanc, incl. providers of IT systems, may be given access to your personal data. Mont Blanc may engage a data processor for processing of personal data on behalf of Mont Blanc. Mont Blanc is responsible for ensuring that the data processor’s processing complies with the legal requirements applicable to the processing.
4.2 If you represent a company that has a contractual relationship with Mont Blanc or otherwise is in contact with Mont Blanc
This section applies if you are an employee of or otherwise represent a company that Mont Blanc has an ongoing contractual relationship with, or that Mont Blanc has established contact with for discussing the possibilities of such contractual relationship or for similar purposes.
4.2.1 Purpose of processing and lawful basis
We process your personal data for the following purposes:
(i) to send notifications or messages to you which are related to an agreement between your company and Mont Blanc based on our legitimate interest to uphold, maintain and administrate a contractual relationship that we have with your company;
(ii) to be able to otherwise execute, maintain and perform our obligations under an agreement with your company based on our legitimate interest to uphold the contractual relationship that we have with your company;
(iii) to discuss any future contractual relationship between your company and Mont Blanc based on our legitimate interest to sustain the partnership with your company and to provide your company with relevant product, solution and service offerings; or
(iv) to provide you with information about Mont Blanc’s products or services, or to invite you to activities or events based on our legitimate interest to market, promote and demonstrate our business, products, solutions, services, events and similar. Se section 4.4 below for more information about our processing when you sign up for our events.
4.2.2 Categories of personal data
Contact details (name, telephone number and e-mail address) employment details (employer, job title, job street address) and other information that you voluntarily share in e-mails that you send to us, submit to us in free text fields or share in other contexts.
4.2.3 Storage time
If your company has a contractual relationship with us, we will store your personal data in our database until the contractual relationship with your company ceases. However, your personal data will (if included in the contract text) continue to be processed as a part of the contract text, as long as the contract is retained for the purpose of safeguarding Mont Blanc’s legal interests. If your personal data is part of invoice documentation, it will be stored in our accounting in accordance with applicable accounting legislation. In Sweden that is for seven years after the end of the calendar year when the fiscal year ended in accordance with the Swedish Accounting Act (Bokföringslagen). If we have discussions with your company but such discussions do not result in that any contract is concluded, we will delete your personal data from our databases when it is no longer needed for the said discussions. If we have not commenced any discussions with your company but are interested in providing your company with marketing material and other information about or business, products, solutions, events etc., we will process your personal data for 3 years whereafter we will delete the data (as long as no discussions regarding a future cooperation have been initiated). Further, we will delete your personal data processed for direct marketing purposes if you object to processing for such purposes.
4.2.4 Recipients
Mont Blanc may share your personal data with our trusted subcontractors to the extent necessary for the performance of the contract we have entered into with your company. They may need access to the personal data in their assignment for us, but they will not be allowed to use the personal data for any other purpose. Further, certain service providers of Mont Blanc, incl. providers of IT systems, may be given access to your personal data. Mont Blanc may engage a data processor for processing of personal data on behalf of Mont Blanc. Mont Blanc is responsible for ensuring that the data processor’s processing complies with the legal requirements applicable to the processing.
4.3 If you are applying for a job at Mont Blanc
This section applies if you are applying for job at Mont Blanc; either for an announced open position or by submitting an unsolicited application. We welcome all applications and are curious about anyone seeking to join our team!
4.3.1 Purpose of processing and lawful basis
Mont Blanc processes personal data relating to you in order to assess your job application and to determine whether we would like to offer you a position at Mont Blanc. Application for an announced open position or if you proceed to a job interview The legal basis for processing personal data which we receive in relation to a recruitment process regarding an announced open position, or if you proceed to a job interview following an unsolicited application, is that the processing is necessary in order to take steps prior to entering into a (employment) contract with you. Unsolicited application and personal data stored for future recruitment processes. The legal basis for processing personal data which we receive through an unsolicited application where we currently do not have any open positions to offer, or which we store after a completed recruitment process (regarding a position which has been assigned to another applicant) is the consent given by you to such processing.
4.3.2 Categories of personal data
We will process personal and contact information about you, which have been requested by us or submitted by you in writing or communicated orally. We will not collect any personal data about you from any third party. The personal and contact information consists of name, date of birth, address (incl. e-mail address), telephone number, current work position (if applicable), CV (including photo if you have included your photo on the CV) and any information you provide us with in your personal letter.
4.3.3 Storage time
Your data will be stored for as long as the recruitment process is ongoing and thereafter for a following period of 2 years, during which Mont Blanc will retain the personal data for the defence of any legal claims. If our processing of personal data is based on your consent, we will retain your personal data until you withdraw your consent. However, we will under all circumstances delete your personal data if the purpose behind our processing of the data ceases.
4.3.4 Recipients
Only Mont Blanc’s employees and, if applicable, external recruiters who are directly involved in a relevant recruitment process will have access to your personal data. Further, certain service providers of Mont Blanc, incl. providers of IT systems, may be given access to your personal data. Mont Blanc may engage a data processor for processing of personal data on behalf of Mont Blanc. Mont Blanc is responsible for ensuring that the data processor’s processing complies with the legal requirements applicable to the processing. Personal data may be disclosed by Mont Blanc to comply with legal requirements or other requirements from official authorities, in order to safeguard Mont Blanc’s legal interests or to detect, prevent, or draw attention to frauds or other safety or technical problems.
4.4 Participants to events
When you sign up for and participate in our events, we will process the personal data that you provide us with in connection with the pre-registration for the event.
4.4.1 Purpose of processing and lawful basis
The purpose of the processing is to provide and administer training, provide information, or otherwise interact with employees of our existing or potential customers, partners, and suppliers. We rely on the legal basis of legitimate interest. If the event includes any meal, we will process your potential food preferences based on your consent. You can withdraw your consent at any time, but if you do, we may not be able to meet your food preference.
4.4.2 Categories of personal data
We will process name, company, contact details (e-mail address and telephone number) and potentially food preferences.
4.4.3 Storage time
We will retain your personal data for up to 12 months after the event has taken place to follow up on participation and evaluating our events, interacting with existing or potential customers, partners, and suppliers and for planning future events. When processed, food preferences will be deleted as soon as possible after the event has been held. If your personal data is part of invoice documentation, it will be stored in our accounting in accordance with applicable accounting legislation. In Sweden that is for seven years after the end of the calendar year when the fiscal year ended in accordance with the Swedish accounting act (Bokföringslagen).
4.4.4 Recipients
The information may be disclosed to partners who deliver support services to us, primarily financial, IT and marketing services. Your personal data may also be shared between the Mont Blanc-companies.
4.5 Visitors to our website
We may process your personal data when you visit our website. Whether and the extent of our processing depends both on your browser settings and on what cookie settings you choose when you enter our website. We use cookies at our website. Cookies are small text files collecting various kinds of information about how you use our website. You can read about our use of cookies and the specific cookies we use in our Cookie information by clicking on the symbol in the bottom-left corner.
4.5.1 Purpose of processing and lawful basis
The purposes of the processing are to ensure the functionality of the website, to collect information about how our website is used to evaluate and improve the website and to provide you with targeted marketing. We rely on the legal basis of legitimate interest for the use of strictly necessary cookies as they are necessary to provide you with a functioning website. The processing of your personal data conducted using non necessary; analytical or marketing cookies, where applicable, is based on the legal basis consent. You are not obligated to consent to these cookies to access the website, but for certain services and features, the use of such cookies is required, and these may be limited or inaccessible without your consent. You can choose your own settings and withdraw or change your consent at any time by clicking on the symbol in the bottom-left corner.
4.5.2 Categories of personal data
IP address and device information as well as visit and user data (such as brand of car, model and year of manufacturing).

4.5.4 Recipients
The information may be disclosed to partners who provide support services to the company, such as marketing services and other technical services in connection with the provision of the website. Your personal data may also be shared between the Mont Blanc-companies.
4.6 Visitors to our channels in social media
We are the controller for the personal data we publish in our social media channels on Instagram, LinkedIn, Facebook, and YouTube. We have the responsibility for limiting inappropriate and offensive posts, comments or other interactions are being published in our channels. In that case, we will remove such activities. In connection with using the social media platforms, for instance to communicate and to market offers, we share information with these social media platforms. When we automatically share personal data with these platforms, we and the relevant social network platform are acting as joint controllers – where applicable – for the collection and transfer of your personal data using cookies and similar technologies. However, in such cases, we and the relevant platform are solely responsible for the subsequent use of your personal data.
4.6.1 Purpose of processing and lawful basis
The purpose of our use and publishing of personal data in social media is marketing and sharing information about our business, products, and services to existing and potential customers. If you interact with any of our social media channels, you also agree to receive our posts in your feed. You can stop liking or following our pages or accounts or hide specific or all the posts we make at any time. We may use the information to contact the company or organisation you represent and inform about our products/services. The legal basis for this is our legitimate interest. Interacting with social media channels means that your personal data may be transferred to third parties located in a third country (the US). 4.6.2 Categories of personal data
The personal data you decide to share in your comments and interactions, including your name where you as a natural person appear as the sender.
4.6.3 Storage time
Personal data that you provide by interactions or comments where you as a natural person appear as the sender will be retained until further notice or until you delete the interaction or comment yourself. We will continuously remove inappropriate comments and interactions.
4.6.4 Recipients
Where applicable, personal data is shared with each social media platform. The information may also be disclosed to partners who, on our behalf, provide support services to the company, such as marketing services. Your personal data may also be shared between the Mont Blanc-companies.
4.7 Subscribers to our newsletter and other marketing (by e-mail)
4.7.1 Purpose of processing and lawful basis
The purpose of the processing is to provide a newsletter or other marketing by e-mail. The legal basis for this is your given consent for the processing. You have the right to withdraw your consent by unsubscribing from our mailing list at any time. There is an opt-out link in each e-mail.
4.7.2 Categories of personal data
Contact information (e-mail address, name).
4.7.3 Storage time
Personal data that you have provided to us in connection with your choice to subscribe to newsletters (e-mail address and name) will be retained until you unsubscribe from a newsletter for which you have registered. There is an opt-out link at the bottom of each newsletter.
4.7.4 Recipients
The information may be disclosed to partners who provide support services to the company. Your personal data may also be shared between the Mont Blanc-companies.
5. Transfer of personal data outside the EU/EEA
At Mont Blanc we strive to not transfer data from EU/EEA to companies located in countries outside of the EU/EEA. However, since we have partners and data processors located outside this area sometimes such transfer is inevitable. When such a transfer is deemed necessary Mont Blanc conducts the transfer in compliance with applicable data protection laws and take appropriate safeguards to protect your personal data. If personal data is transferred to a third country, we will always ensure that appropriate safeguards are in place to ensure the secure processing of your personal data. Such appropriate safeguards include ensuring that the country to which your personal data is transferred has an adequate level of protection or that we enter the European Commission’s standard contractual clauses (SCCs) from 2021 with the importer and take additional safeguards when required. Please contact us for more information about potential transfers to third countries and to request a copy of our security measures. You find our contact details in section 3 above.
6. Changes to this Privacy policy
We reserve the right to update this policy at any time to the extent we deem necessary based on changes to our processing of personal data and to comply with new legal requirements, interpretations of legal requirements, technical requirements, or to address issues or disruptions. However, when the processing of personal data is regulated in binding contracts with a client the contractual provisions are valid until they have been changed if they are not incompatible with law or other binding provision. If we make major changes to our processing of personal data, you will be notified personally. The current and latest version of this policy will be always available on the Mont Blanc website.
